ServiceNow CMDB alternatives for mid-market IT teams and MSPs
The ServiceNow CMDB is powerful, but many mid-market teams find it costs more to run than they can staff. Here are the alternatives, grouped by approach, what each is good at and how to choose.

What is a good alternative to the ServiceNow CMDB for a mid-market company?
It depends on whether you need a whole ITSM platform or a CMDB that stays accurate. If you are replacing the service desk too, mid-market ITSM suites with a built-in CMDB include Freshservice, Jira Service Management with Assets, ManageEngine ServiceDesk Plus, TOPdesk, HaloITSM, SolarWinds Service Desk and Ivanti Neurons for ITSM. If the problem is an inaccurate CMDB, discovery tools such as Lansweeper and Device42 find assets and dependencies and feed a CMDB, observability tools such as Datadog and Dynatrace map runtime dependencies for what they monitor, and a reconciled live map such as Alexus AI reads from several of these and keeps one current picture, beside your ITSM tool or on its own.
For an MSP, add one test before any other: whether each client is a separate tenant with its own CMDB, or one shared database with a company field.
Why do mid-market teams look for ServiceNow CMDB alternatives?
The ServiceNow CMDB is mature. It comes with the ServiceNow AI Platform (formerly the Now Platform), it has a published data model, the Common Service Data Model (CSDM), and an Identification and Reconciliation Engine (IRE) that matches discovered data to configuration items and prevents duplicates. Changes, incidents and approvals run in the same platform. For a large enterprise with a platform team, that is hard to match.
Mid-market teams tend to hit three costs. Automated discovery and service mapping are part of ServiceNow's ITOM Visibility product, a separate subscription from the service desk, and third-party discovery connectors can also require it. Modelling services to CSDM and keeping discovery healthy usually needs a ServiceNow administrator or a partner. And when the data drifts, the people who use the CMDB during incidents stop trusting it, which is the most expensive outcome of all.
What are the ServiceNow CMDB alternatives, by approach?
Details below come from each vendor's own documentation, checked in November 2026. Products change quickly in this market, so confirm with the vendor before you decide.
- Freshservice (Freshworks): an ITSM and IT asset management suite. Freshworks bought Device42 in June 2024 and in April 2026 said continuous infrastructure discovery and dependency mapping are now built into Freshservice ITAM, using agentless discovery and cloud APIs. A separate Freshservice for MSPs offering manages many clients from one interface.
- Jira Service Management with Assets (Atlassian): Assets, formerly called Insight, is the asset and configuration database inside Jira, available on paid Jira Service Management plans. Assets Discovery is an agentless network scanner with optional agents. It suits teams already running Jira. For MSPs, Atlassian's guidance is to group customers into organisations within one site rather than give each a separate CMDB.
- ManageEngine ServiceDesk Plus (Zoho): a CMDB with a visual relationship map, filled by Windows domain, script and agent-based scans. The CMDB is part of the Enterprise edition. A separate ServiceDesk Plus MSP edition keeps a separate CMDB for each client account.
- TOPdesk: an ITSM suite priced per agent, with unlimited assets and end users. Its Asset Management module is replacing the older CMDB module, and discovery comes through integrations, such as Lansweeper, Microsoft SCCM and Intune, rather than a native scanner. TOPdesk also sells to MSPs.
- HaloITSM (Halo, UK): a CMDB with configuration item relationships built from discovery data. Halo Asset Discovery is a hosted version of Lansweeper. MSPs use the sister product HaloPSA, which tracks devices and configuration items per customer.
- SolarWinds Service Desk (formerly Samanage): a cloud service desk with an agentless discovery scanner and a discovery agent, connections to Intune, SCCM, Jamf, vCenter and AWS, and configuration item dependencies in the CMDB.
- Ivanti Neurons for ITSM: an ITSM suite whose CMDB is fed by Ivanti's discovery, which uses agentless probes with optional agents. Service mapping is a separate product, Ivanti Neurons for Service Mapping.
- BMC Helix CMDB with BMC Helix Discovery: an enterprise-grade alternative with its own discovery, available as SaaS or on-premises. In scope and effort it is closer to ServiceNow than to the mid-market suites above.
- Lansweeper (discovery): finds assets with agentless scanning, an agent, passive sensors and cloud APIs for AWS, Azure and Google Cloud, and adds application dependencies from a traffic sensor. Lansweeper positions itself as the discovery layer that feeds and enriches a CMDB, including ServiceNow's, rather than as an ITSM CMDB. It has a multi-tenant portal for MSPs.
- Device42 (discovery, now part of Freshworks): agentless discovery with its own CMDB and application dependency mapping, still sold on its own as well as inside Freshservice.
- Datadog and Dynatrace (observability): Datadog's Software Catalog, renamed from Service Catalog in 2025, maps service dependencies from its tracing data and lets teams add relationships by hand. Dynatrace Smartscape is a near-real-time topology built by its own auto-discovery. Both map what they monitor; owners, suppliers and systems without their agent sit outside the picture.
- Reconciled live maps: read from several of the tools above, reconcile them into one record per system with a rule for each field, and keep it current. Alexus AI takes this approach (see below). Quality depends on connector coverage, and the map can sit beside an existing CMDB.
How do you choose a CMDB alternative?
- Start from the job: decide whether you are replacing your ITSM platform or only need a CMDB people trust. Replacing a service desk is a larger project than fixing a data problem.
- Discovery: which sources does it read (cloud APIs, agents, network scans, monitoring), how often, and does it need agents on every machine?
- Reconciliation: when two sources disagree about a field, what decides, and can you see and change the rule?
- Relationships: does it record how CIs depend on each other and on business services, and does it say which relationships were observed and which were declared?
- Change and incident links: are changes, deployments and incidents linked to the CIs they touched, so you can ask what changed before something broke?
- Provenance: can you see where each fact came from and when it was last confirmed?
- For MSPs: is each client a separate tenant, with data isolation you can explain to a client's auditor, and is pricing per client rather than per technician?
- Data location: where the CMDB is hosted, and whether EU hosting is available if your clients or regulators expect it.
- Effort: how many hours a week will someone spend keeping it accurate after go-live? That number decides whether the CMDB stays useful.
Do you need to replace ServiceNow at all?
Often not. If ServiceNow runs your service desk, change process and approvals well, the CMDB problem is usually one of data, not platform: discovery that sees one slice, no source of authority per field, and relationships nobody maintains. Better discovery or a reconciled feed into the existing CMDB can fix that without moving tickets, workflows and reports.
Replacing the platform makes sense when the cost or the platform team it needs is out of proportion to the size of the estate, when most of the licence pays for modules you do not use, or when an MSP needs a multi-client model that its current setup does not give it. Our guide to what a CMDB is and how to keep it live covers the data side in detail.
How do you move off a ServiceNow CMDB?
- 1. List the services that matter most and the CIs that support them, and decide what the new CMDB must hold on day one. Most CMDBs carry classes and attributes nobody uses.
- 2. Export CIs, relationships and owners from ServiceNow, and treat the export as a starting point to check rather than the truth.
- 3. Connect the new tool to the authoritative sources (cloud accounts, monitoring, identity, ticketing) before importing, so discovered data can confirm or correct imported records.
- 4. Decide record matching (cloud resource IDs, hostnames, serial numbers, tags) so one server does not become three CIs.
- 5. Re-point integrations that read the CMDB, such as monitoring, on-call and change approval, and run both in parallel for a few weeks.
- 6. Keep an archive of the old CMDB and its change history for audits, which may ask about the period before the move.
How Alexus AI fits
Alexus AI is a Dublin-built operational intelligence platform built around a CMDB that keeps itself current. It connects read-only to your cloud, monitoring, ticketing and code tools (status on the connectors page) and reconciles them into one live service and dependency map, with a rule per field when sources disagree and a person asked when Alexus is unsure. Every item shows where it came from and when it was last confirmed: live-verified, declared or stale.
It reads ServiceNow as one of its sources, so you can keep ServiceNow for the service desk and use Alexus for the map, or use Alexus on its own if you do not run an ITSM suite. On top of the map it shows blast radius, links incidents to what they affect and records what changed and who approved it, and the same data produces NIS2 evidence. For MSPs, each client is isolated in the database and priced per managed client. Alexus is not a service desk: tickets, approvals and SLAs stay in your ITSM tool. It is early-stage and working with design partners; the comparison page sets out where other approaches are stronger.
Frequently asked questions
- What is the best CMDB for a mid-market company?
- There is no single best one. If you already run Jira, Jira Service Management with Assets is the shortest path. If you need a new service desk as well, mid-market suites such as Freshservice, TOPdesk, HaloITSM or ManageEngine ServiceDesk Plus include a CMDB. If your problem is that the CMDB is wrong rather than missing, better discovery or a reconciled live map that keeps it current matters more than which suite holds it.
- Do I need ITOM Visibility for ServiceNow Discovery?
- According to ServiceNow's documentation, the Discovery and Service Mapping plugins require an ITOM Visibility subscription, which is licensed separately from the service desk; a narrower ITOM Discovery package also exists. Some third-party discovery connectors into the ServiceNow CMDB also require an ITOM Visibility or Discovery subscription. Check your own contract, because bundles vary.
- What is the best CMDB for an MSP?
- One that keeps each client separate. ManageEngine offers a ServiceDesk Plus MSP edition with a separate CMDB per client account, Halo's MSP product HaloPSA tracks devices and configuration items per customer, Freshworks sells Freshservice for MSPs, and Lansweeper has a multi-tenant portal for discovery. Ask how separation is enforced, because a client's auditor may ask you the same question, and whether pricing is per client or per technician.
- Can I keep ServiceNow and still fix my CMDB?
- Yes, and it is often the cheaper route. Most CMDB problems come from discovery that sees one slice, no rule for which source wins when sources disagree, and relationships nobody maintains. Adding authoritative sources, per-field precedence rules and a weekly drift review fixes the data without moving tickets, workflows and reports. A reconciled live map can also feed or sit beside the ServiceNow CMDB.
- What is CSDM in ServiceNow?
- CSDM, the Common Service Data Model, is ServiceNow's standard way of modelling services, applications and the infrastructure under them in the CMDB. It is guidance on how to structure the data, not a separate product. Following it makes reports and service mapping work as intended, but modelling an estate to CSDM takes planning and ongoing care.
